
Managing family gatherings well can provide a calm relaxing event and be a wonderful opportunity to reconnect, celebrate milestones, and create lasting memories. However, managing a large family gathering in your home can increase your stress levels. This applies to all projects you hope to complete, not just planning a family event. Start by setting a date and time that works for most of your family members. Once you have a date, create a detailed plan that includes:
- Guest List: List everyone you plan to invite and keep track of those who plan to attend. This will help you estimate the amount of food, space, and seating that will be needed. Honestly, this is just an estimate because in my experience it often changes right up to the minute guests start arriving.
- Menu: Decide on the menu well in advance. Consider dietary restrictions and preferences of your guests.
- Keep it simple: In the Summer we choose options from the grill such as grilled burgers, hot dogs, and sausages. We use beef that we have raised here on our property and fresh vegetables from our garden. Easy-to-prepare food with simple ingredients is the best. Choose options that can be prepared in advance to reduce stress on the day of the event. I started doing this a few years ago and it was such a game-changer.

- Schedule: Plan a rough timeline for the gathering. Include time for food preparation, activities, eating, and socializing. We never seem to have enough time to sit and just talk with one another.

- Table Layout: Set up food and drinks in a way that prevents congestion. Buffet-style setups work well for large groups, allowing guests to serve themselves. We do this and arrange the area to help get everyone served quickly while the food is hot.
- Decorations: Keep decorations simple and practical. Opt for items that are easy to set up and clean up. Think about using items you already have or that can be repurposed for future events.

Don’t try to do everything yourself. Enlist the help of family members for various tasks, such as:
- Setup and Cleanup: Have a team assigned to setting up the space and cleaning up afterward. Our gatherings are usually family related, so we assign tasks to each family member. This can help reduce your workload and ensure the event runs smoothly.
- Serving and Refilling: Assign someone to monitor the food and drink stations, ensuring that everything stays stocked and that guests have what they need.
- Activities and Entertainment: If your gathering includes games or entertainment, delegate these responsibilities to someone who can organize and lead them.
- Manage Expectations: Remember that no event is perfect, and it's important to manage expectations. I am known to overthink every part of a family gathering and later realize how well it went!
- Flexibility: Be prepared for changes and surprises. Things might not go according to plan, but a flexible attitude can help keep stress levels low. Adaptability is key to reducing stress.
- Focus on Enjoyment: The goal of a family gathering is to enjoy each other’s company. Focus on creating a warm and welcoming atmosphere rather than striving for perfection. This is a hard one to follow because as a recovering perfectionist, I want everything to go perfectly.
